Committees and Information
Coming soon will be a listing of all of our Committees and who is currently on those committees.  Our club can only be successful if we all work together to make it happen.  If you have not already signed up for a committee please contact Lisa Cummings to see where help is needed.

New Membership/Recruitment: 3 to 4 volunteers

This is one of the most important committees.  We need parent volunteers to help meet and greet new parents at the beginning of each Recreational program.  Volunteers will be available to answer new parents questions about the mermaids and our program.  Volunteers will also be responsible for distributing all the paperwork and collecting of money and papers from each new swimmer.    Volunteers would help to stream line the new recreational monthly program and help create new flyers, brochures and possibly send  notices to members regarding the recreational programs.
 This committee would also plan and coordinate the "bring a friend to syncro" Saturdays.  Point person for this committee is Lisa Cummings.  

 


 

Fundraising:  Need at least 1 volunteer for each fundraiser & need a coordinator.

 

This committee needs a coordinator to ensure that fundraisers are continuing to happen monthly or every other month.  It would be ideal to have 1 volunteer for each fundraiser to focus on that fundraiser, work hard for 30 days, then let another volunteer handle the next fundraiser.

 

Fundraisers are not set, we can do any fundraiser, but prefer ones that have a 35-45% return to the club. 

 

Prior fundraisers have been:  September - water show, November - Cookie Dough, January - Swim a thon, working The Orleans, and June - Coffee.  Bring an idea and run the fundraiser for that month.


 

Social:  3  to 4 volunteers

 

This committee will plan at least 3 events per year.  These events should include all of the swimmers. Just need to know how to plan a party. Recommended events:

 

Year end recognition banquet:  Should be held in the fall and can be a Pot Luck from the parents.  Need to coordinate with Coaches on awards and swimmer recognition. 

 

Holiday Party/Social:  Can be a gift exchange, cookie decorating or even just a "girls day out" to the movies & pizza.

 

Spring Social:  The girls are working hard to get ready for meets so an ice cream social, movie, large slumber party, tie dye party, etc. are always good ideas.

 


 

Web Site Maintenance/Photos: 1 or 2 volunteers

 

The web site is very user friendly.  If you have a Face book account or are generally good with a computer, you can do this committee.  You do not need to know any special "web" language. 

 

This web site need to be updates maybe once per month in the calendar or adding a newsletter.  During the competition season, you would need to load new and updated photos of the girls from the meets and their meet scores.

 


 

Sponsorship:  3-4 members

 

This committee will continue to refine the "Friends & Family program" which runs during the spring and also the sponsorship program.  Most of the packets are put together but need updated annually.

 

This committee also will meet with prospective sponsors of the club.  These prospective sponsors are contacts from other members of the club.  This committee is important to all the members to help keep our month dues as low as possible by securing team sponsors.

 

 

This committee can meet with several businesses per month if there are prospective team sponsors.  Totally commitment is undetermined.

 


 

Media:  1 volunteer

 

This committees needs someone that will contact the papers about our team, meets and results.  They will get our name out in the name stream.  They need to be comfortable with talking with or writing to news stations, radio, news papers, local magazines, etc.  

 

This is a very important to the growth of our club.  The Head Coach will assist in getting our name out in the community.

 

Advertising & Marketing:  1 or 2 volunteers

 

This committee will work with the Media committee and Recruitment committee.  We need to find "free" and low costs way to advertise and market our team.  Help put together flyers, coordinate distribution of flyers to businesses & schools. 

 

This committee last all year and would take a few hours per month at the most.

 


 

Travel Arrangements: 1 or 2 volunteers

 

This committees makes arrangements for the team when they travel.  It would be ideal to have 1 volunteer from the older girls team as they travel the most and 1 volunteer from the younger girls team. 

 

This committee requires time from February to June only.  It will take minimum amount of time, just a few phone calls.  The meets are determined by the Head Coach in advance so ample time will be given for this committee.

 


 

Nomination Committee:  3 volunteers

 

This committee needs to start now.  They need to organize the upcoming elections.  Elections must take place in September so that the new board can be in place by October 1st.  The by-laws require 3 volunteers.  This requires several meeting, membership notification, gathering of nominations and running of elections. All forms and info from prior years will be provided.  This committee is busy August & September, then dissolves.

 


 

Clothing & Costumes:  3 volunteers

 

This committee handles all design and coordination of competition suits once routines have been decided.  They will be responsible for coordinating the parents for making head pieces.

 

This committee will also be the main contact for all incoming parents that do not have bags, team suits, swim caps, team warm ups.  Any and all new shorts, tops or miscellaneous Desert Mermaid clothing will come from this committee.  They will be responsible for making available clothing from stock to all new swimmers.

 

This is an all year committee.  More time required in fall and year end.
